School HR software is bought as a staff database and judged on payroll. The thing that actually separates products is narrower than either: does a staff absence reach the payslip without anyone retyping it?
Everything else in this category is broadly similar. That one chain is where the monthly work and the monthly arguments live.
Competitor columns come from each vendor's own published pages. The ScolaOS column was checked against source code. A blank against a competitor means their site did not state it on the date checked, not that they lack it.
Competitor pages verified 20 July 2026. ScolaOS column verified against source.

A fairness note. HR is thinly published across this whole category. Most vendors list "HR and payroll" as a module name without specifying what is inside it, which is why so many rows are blank. Campus 365's documentation was unreachable, so its column is least reliable. Read blanks as questions.
The one question that decides it
In most schools the month-end sequence is this: someone opens the attendance report, counts unapproved absences, works out the deduction, and types it into payroll as an adjustment.
That process has two failure modes. It is slow, and more importantly the resulting number cannot be traced back. When a teacher disputes a deduction three months later, there is no line connecting the figure to the days that produced it, and the argument becomes a matter of records nobody can reconstruct.
In ScolaOS, payroll reads the staff attendance record for the period, derives present days, leave days and absent days, and feeds loss-of-pay days into the payroll calculation directly. The deduction is computed rather than entered, so it can be traced to specific dates.
One important consequence, worth stating because getting it wrong causes real payroll errors: loss of pay must never be added as a salary component in configuration. It is computed automatically, and configuring it as well produces a double deduction. If you evaluate us, ask us to show this rather than describe it.
Fedena and Vidyalaya state the same attendance-to-payroll link on their own pages. Entab states it partially. Campus 365 and Classe365 do not state it, which may simply reflect thin documentation.
The cross-module deduction
A second connection is worth knowing about because it is unusual, and none of the five publishes an equivalent.
When a staff member fails to return a library book, the recovery does not become a note on a register. It is injected into the next payroll run as a deduction line, linked back to the payroll run and item that carried it. So the question "why was ninety rupees deducted in March" has an answer inside the system rather than in somebody's memory.
The same mechanism sends a student's library fine to their next fee invoice instead. It works because the modules share one record rather than exchanging files.
What to test in a demo
Run a payroll for a month with an unapproved absence in it. Watch whether the deduction appears by itself or whether someone types it. Then ask to click through from the deduction to the days behind it.
Apply for leave, approve it, then run payroll. Approved leave should not become a deduction. This sounds obvious and is a common source of errors.
Try to run the same month twice. A duplicate payroll run is one of the more expensive mistakes in this category. ScolaOS prevents it with a database constraint rather than a warning message, so it cannot happen even by accident. Ask others how they prevent it.
Ask what payroll does not calculate. In our case: no statutory filing, no tax computation for any jurisdiction, and no compliance returns. Entab states HR compliance on its pages. If your school needs statutory payroll filing, ask every vendor precisely which jurisdiction and which returns, because "compliance" is a word that covers a great deal of ground.
What ScolaOS does not do
- No recruitment or applicant tracking. Vacancies, applications and interview scheduling are not modelled.
- No appraisals, performance reviews or goal setting.
- No training and development records.
- No statutory payroll filing or tax computation, for any jurisdiction.
- No biometric device integration. There is a catalogue entry with no integration code behind it.
- No HR analytics or AI. Reporting describes what happened.
None of the five competitors states recruitment or appraisals either, so those may be category-wide gaps rather than ours specifically. Statutory compliance is different: Entab states it and we do not.
Frequently asked questions
What should school HR software do?
Hold staff records, manage leave with balances, run payroll accurately, and connect staff attendance to payroll so deductions are computed rather than estimated. Recruitment and appraisals are rarely present in school platforms, so if you need those, expect a separate system.
Does ScolaOS calculate loss of pay automatically?
Yes, and it is the strongest thing in this module. Payroll derives present, leave and absent days from the staff attendance record and computes loss of pay from them, so the deduction traces to specific dates. Do not also configure loss of pay as a salary component, because it is already computed and doing both deducts twice.
Does ScolaOS handle statutory payroll compliance?
No. There is no statutory filing or tax computation for any jurisdiction. Entab states HR compliance on its own pages. If you need statutory returns, ask each vendor which specific jurisdiction and which forms, because the word covers very different scopes.
Can school HR software prevent a duplicate payroll run?
ScolaOS prevents it with a database constraint on tenant, branch, month and year, so a second run for the same period cannot be created rather than merely being discouraged. Ask other vendors how they handle it, because a warning that can be clicked past is a different level of protection.
Does ScolaOS include recruitment or appraisals?
No to both. Neither is stated by any of the five vendors compared either, so school platforms generally are not where these live. Expect a separate tool if you need them.
How do library fines get recovered from staff?
In ScolaOS a library recovery is injected into the next payroll run as a deduction line, linked back to the run and item, so it is traceable rather than remembered. For students the same mechanism appends the charge to their next fee invoice.
Is there setup work before payroll can run?
Yes. Salary structures, leave types and departments are not created automatically when a school is set up; they are seeded through an explicit setup step. Budget time for configuring these to your school's actual structures before the first payroll run.
In summary
Ignore the module list. School HR software is decided by whether an absence reaches the payslip on its own, and whether the resulting deduction can be traced back to the days that caused it.
Ask for a payroll run with an absence in it, and ask what happens if you run the same month twice.
